Village Hall Treasurer

We are looking for a Treasurer to oversee the financial administration of the Village Hall charity, ensuring proper financial records are maintained, statutory obligations are met, and the Management Committee receives accurate financial information to support effective decision-making.
The role is central to maintaining the financial health, transparency, and compliance of the charity. Here is what you will be doing:
Financial Management
- Maintain accurate and up-to-date financial records using the charity’s accounting spreadsheets and booking systems
- Manage the charity’s bank accounts, including Barclays and Virgin accounts
- Monitor income and expenditure and ensure all transactions are correctly recorded and reconciled
- Process outgoing payments, including direct debits, supplier payments, reimbursements, and refunds of damage deposits.
- Record and monitor hall hire income, '200 Club' receipts, cash receipts, cheques, and online payments.
- Liaise with the Booking Secretary to ensure all payments are accurately recorded within the Hallmaster booking system.
- Maintain records of refunds and exceptional payments where required.
Monthly Financial Reporting
- Prepare monthly management accounts for the Committee.
- Reconcile bank statements and update financial summaries.
- Produce monthly PDF financial reports for circulation to Committee members.
- Maintain income and expenditure analysis sheets and supporting financial documentation.
- Add explanatory notes and commentary to financial reports where appropriate.
Annual Accounts & Reporting
- Prepare annual accounts and supporting schedules.
- Calculate year-end debtors and creditors, including advance booking payments.
- Complete annual bank reconciliations.
- Prepare the annual Financial Summary for inclusion within the Annual Report.
- Maintain records of non-monetary assets, including buildings, equipment, and insurance valuations.
- Liaise with the Independent Examiner/Accountant during the annual examination process.
- Coordinate electronic submission of the Annual Report and Accounts to the Charity Commission.
Budgeting & Governance
- Prepare the annual budget in consultation with the Committee.
- Support financial planning and cashflow management.
- Ensure financial procedures and controls are appropriately maintained.
- Advise the Committee on financial matters and compliance obligations.
- Attend Management Committee meetings and the Annual General Meeting (AGM).
Insurance & Administration
- Organise and renew the Village Hall insurance policy.
- Act as a principal contact for utilities, subscriptions, and other service providers.
- Maintain orderly financial records, invoices, receipts, and supporting documentation in both electronic and paper formats.
The role is based at the Village Hall with some remote/home working
Skills
Person Specification
Essential Skills & Experience
- Good numerical and financial administration skills
- Experience of bookkeeping, accounts, or financial management
- Competent in Microsoft Excel and basic financial spreadsheets
- Organised, accurate, and methodical approach to record keeping
- Ability to maintain confidentiality and handle financial information responsibly
- Good communication and interpersonal skills
- Ability to work independently and as part of a committee

Desirable
Previous experience as a Treasurer, bookkeeper, or finance administrator
- Knowledge of charity accounting and Charity Commission requirements
- Experience using online banking systems and financial software
- Familiarity with community organisations or voluntary sector governance
Trustee Responsibilities
As Treasurer, you will also serve as a Trustee of the charity and share collective responsibility for:

- Acting in the best interests of the charity and community
- Supporting the effective management and sustainability of the Village Hall
Support Provided
A handover and ongoing support will be provided by the outgoing Treasurer and Committee members. Existing financial systems, templates, and procedures are already established.

Availability
Time Commitment
Approximately 6–10 hours per month, with additional time required during year-end accounting, AGM preparation, and Charity Commission submissions.
