We are seeking an organised, reliable, and community-minded individual to join the Management Committee of a local charitable community hall as Secretary and Committee Administrator.
The Management Committee consists of voluntary representatives from local clubs and associations. The elected positions of Secretary and Treasurer form part of the committee leadership team, and all committee members also act as Trustees of the Charity.
This is a rewarding opportunity for someone who enjoys administration, community involvement, and supporting the successful operation of a valued local venue.
What you will be doing:
Committee Administration
- Attend monthly Management Committee meetings
- Prepare meeting agendas in conjunction with the Chairman
- Take accurate minutes during meetings
- Draft and circulate minutes following Chairman approval
- Distribute agendas and committee paperwork to members
General Secretarial Duties
- Handle correspondence, including letters and emails, as required
- Maintain committee records and documentation
- Support the Chairman and Treasurer with administrative tasks
- Update and maintain records on the Charity Commission website Financial Governance
- Act as an authorised signatory on the charity bank accounts
- Access online banking to authorise expenditure where required
- Work within the charity’s financial control procedures alongside other authorised committee members
Fundraising Support
- Assist with the administration of the Hall’s “200 Club” fundraising scheme, including: - Acting as named promoter (if appropriate)
- Supporting the monthly prize draw
- Managing routine administration relating to the club
Events Support Assist committee members with the organisation of community fundraising events, currently including:
- Annual Jumble Sale (January)
- Christmas Market (November)
The Hall has a dedicated Booking Secretary who manages all hall bookings and scheduling. The hall booking diary is maintained separately via the Hall website
Meetings are held at Lavant Village Hall, however occasionally meetings can be held remotely.

Skills
We are looking for someone who:
- Has good organisational and administrative skills
- Is comfortable preparing documents and correspondence
- Can maintain confidentiality where appropriate
- Has basic IT skills, including email and online record management
- Is dependable and able to work collaboratively as part of a volunteer committee
- Has an interest in supporting local community activities and charitable work

Availability
Time Commitment: Approximately 4–6 hours per month.
Committee meetings are normally held on the first Tuesday of each month at 6:30pm and usually last around two hours.
- Eleven committee meetings are held each year
- No meeting takes place in August
- The Annual General Meeting (AGM) is held in December alongside the regular monthly meeting
